Broadspire

The Challenge

Kemper National Services, a division of Kemper Insurance Companies, first started using Prelude’s PayPilot solution in 2000. At that time they were most interested in finding a way to better manage and issue payments. The company issues 10,000 to 15,000 payments per day through its medical bill review department.

In 2003, Kemper sold its claims-handling organization to Platinum Equity who spun it off into a new company called Broadspire. Broadspire continues to use PayPilot but has expanded the products’ role in its claim handling operations.

The Solution

PayPilot processes all payments, prints checks using MICR (magnetic ink character recognition) technology on blank safety stock, then exports information back to the claims system. Payments are made mostly to doctors and hospitals.

Broadspire uses PayPilot to process bills and make recommendations for payment amounts based on its payment definitions. Payment information is imported daily and PayPilot uses Broadspire’s business rules to assign the appropriate bank and checking account for each payment. The system scans for duplicate bills to be sure no duplicate payments are issued. Returned checks are cancelled and reviewed for revised re-issue.

All payment information is linked into the customer service system for quick access to payment status at any time. Broadspire uses the export facilities to quickly respond to customers with explicit payment details. PayPilot enables authorized staff to access payment data at any time for queries, reporting, printing file copies, and manual input.

Because medical payments are often have complicated remittance advice, EOBs and EOPs often run onto a second page. Rather than printing onto blank safety stock, PayPilot is configured to trigger any overflow pages to print on white paper and automatically collate. PayPilot also easily accommodates changes to logos, signatures, bank addresses and account information.

The Results

PayPilot allows Broadspire to process a high volume of payments while tracking payment information in multiple systems. Integrated in a centralized database, all payment details are accessible at any time. This allows Broadspire to offer their customers the highest level of customer service possible regarding payment information.

Broadspire also enjoys the cost savings from using PayPilot. Prior to PayPilot’s installation all checks were printed on pre-printed check stock. Because there are frequent changes to bank logo or name there was often an inventory of stock that went to waste. There was also the cost of the stock itself. Using black safety stock has reduced check costs by 60%.
